Room Use Policies

PLEASE SUBMIT YOUR RESERVATION 3 BUSINESS DAYS IN ADVANCE.  RESERVATIONS THAT ARE NOT SUMBITTED 3 DAYS IN ADVANCE WILL NOT BE  HONORED.    OUR OFFICE OPERATES MONDAY-FRIDAY 9AM-4PM.  WE DO NOT CHECK RESERVATIONS THROUGHOUT THE WEEKEND.

Reminder:  Auxiliary Services  can only schedule F&M college spaces for F&M Student Organizations, F&M Administrative Offices or F&M Departments.

The following spaces are reservable and administered through the Auxiliary Services office: 

Steinman College Center:
  • Atrium or individual spaces in the Atrium used for Information Tables: East Lobby, West Lobby, Pandini's Wall
  • Armstrong Room (seats 22)
  • Grundy Room (seats 8)
  • Huth Room (seats 12)
  • Booth Ferris (North seats 120 and South seats 75)
  • East Patio (facing College Ave) and West Patio (facing Hartman Green)
  • Rothman Mall, outside of mailroom

College Houses:
  • Brooks House
  • Bonchek House
  • Ware College House

Classroom Buildings:
  • Stager
  • Keiper
  • Kauffman
  • Hackman
  • Life Sciences
  • Harris

Other Buildings:

The following spaces are NOT administered through Auxiliary Services. Please contact individuals listed to reserve the below spaces. 

Athletic Spaces:
  • Alumni Sports & Fitness Center, Mayser Center and Outdoor Athletic Areas - Prior approval through Shawn Carty (717.358.4406) is required.
Ben's Underground
  • Prior approval from the Ben's Underground General Manager is required (717.291.4350).

Dining Services Spaces:
  • Ben Franklin Dining Halls and Ben Franklin Catering Suite - Christina May (717.358.7169)
Women's Center:
  • Approval from the Director of the Women's Center is required (717.291.3956).

International Center:
  • Reservations for the Joseph International Center are now on -line interactively.  The Web address is http://WWW.fandm.edu/x22416.

FRANKLIN & MARSHALL COLLEGE GUESTHOUSE  POLICY

The HUEGEL ALUMNI HOUSE ANNEX  (Guesthouse) is located at 445 College Avenue and has been furnished with items from the College Collection. There are three open rooms on the first floor, as well as four bedrooms with two shared bathrooms on the second floor.  Each bedroom has a telephone and there is also wireless access to the Internet. 

The intent of the house is to provide convenient and comfortable short-term lodging for special guests who are on campus for activities such as giving lectures and symposiums or being interviewed for a job.   The house is not open to Faculty, Professional Staff, Students, Parents or Alumni.  Special exceptions will occur for any persons of these groups who are considered to be a special guest of the College.  All student Clubs, Fraternities and Sororities must obtain approval to use the house through their Club Advisor or Administrative Representative of the College community.

 The guesthouse is not available to non-Franklin and Marshall groups without prior approval.

There are no fees associated with the use of the guest bedrooms. No food is available and guests are asked not to prepare any food in the house.  Guests are expected to take their meals on campus or with the hosting department.  Water, tea and coffee are available in a common room located on the second floor for guest convenience.

Guest should only stay for as long as the reservation states.  A reservation should not last more than 3 nights per stay.   The hosts must check with the reservationist  before permitting a guest to stay longer then the reservation has been confirmed.  Extended periods of stay require prior approval.

 Reservations are for the guest only.  Guest may have a person stay with them, but the reservation will be made for 1 room only.  Cots or cribs are not available.  Additional guests rooms may be approved based on availability.  A single administrative or academic department may not book more than two (2) rooms per reservation.  Special exceptions may occur.

 Check-in is at 3:00pm and check-out is at 9:00am.  Please be sure to inform your guest of these times. If a guest arrives before check-in time, they should not assume their room is available. Special check-in or check-out times are an option, but, must be arranged with the Guest House manager prior to the guests arrival.  For the guest privacy, hosts should not enter any of the rooms to “make sure the room is ready” before the scheduled check-in time of their guest arrival.

Hosts are to pick up guest keys from the Auxiliary services office, located on the 1st floor of the Steinman College Center.  Guest House keys may be picked up Monday-Friday 8:30am-3:00pm.  Host must make arrangements with their guest and the Department of public safety to have guest pick up keys after normal working hours or weekends.

 All feedback of your guest experience should be directed first to the manager, 291-4287 of the guesthouse, then to the Assoc. Director at 358-4730.  If feedback is shared during the stay, we will do everything possible to adjust and make appropriate changes as required.  If provided after the stay is over, this information will be used to create a better experience for our next guests.
