Employment Eligibility Verification

Federal law requires employers to verify the employment eligibility of the individuals they hire.

Based on federal regulations, all new hires, including temporary employees, must report to Human Resources prior to, or on, their first day of employment. Federal law requires that section 1 of an Employment Eligibility Form be completed no later than the first day of employment. The remainder of this form must be completed within the first 3 days of employment. The new employee is required to present original documents (photocopies are not acceptable) which verify his/her eligibility for employment in the U.S. An authorized representative of the College must complete the lower portion of the Employment Eligibility form upon presentation of proof of employment eligibility. The form contains a list of acceptable documents.

All former Franklin & Marshall employees who have been rehired must report to Human Resources to complete an Employment Eligibility form if their original hire date was prior to November 6, 1986, or if the rehire date is more than 3 years from the date of the initial completion of the form.

If original documents verifying employment eligibility are not available, the new employee must provide a receipt, within 3 days of employment, showing he/she has applied for the appropriate document(s).

Federal law prohibits Franklin & Marshall from allowing an individual to work or receive compensation until the Employment Eligibility form is properly completed.

Members of the Student Payroll office are authorized to complete these forms for student employees; all other employees are to complete this form in Human Resources.
